Looking for a skilled receptionist to complete admin work on the front desk for the Guildford office

Client Details

A clothing Manufacturing company who retail to some of the major UK and European retailers, based in Guildford

Description

  • Answering incoming calls and taking detailed notes
  • Greeting visitors with a friendly welcome, offering assistance, and notifying the relevant team members of their arrival
  • Ensuring the front door security is maintained
  • Keeping the entrance and office areas neat and organised, including tidying up and maintaining the reception area
  • Setting up meeting rooms and ensuring all necessary equipment is ready
  • Coordinating catering for meetings as needed
  • Handling administrative tasks such as managing mail, deliveries, ordering supplies, and fulfilling staff orders
  • Utilising technology, particularly MS Teams and Outlook, as essential tools
  • Conducting weekly fire alarm tests
  • Ensuring office supplies are stocked and readily available for staff
  • Assisting with any other tasks as directed by the office manager
  • Managing mail and DHL parcels-it's important to avoid accumulating parcels, so the receptionist can keep them in a box near the desk or upstairs and bring them down shortly before the driver arrives
  • The receptionist can assist with flight research and bookings
  • Ordering stationery and fulfilling staff requests
  • Communicating with staff members or external vendors, such as arranging access for the window cleaner or coordinating with church fire safety teams for routine checks
  • Creating a monthly newsletter and managing social media updates
