Position Overview:
As a vital part of our amazing team, you will take on a broad range of responsibilities, contributing to the smooth and efficient operation of the business. This is an exciting, fast-paced role where you will manage key administrative tasks, support high-level projects, and ensure the seamless day-to-day functioning of the office. From answering calls and emails with professionalism to managing stock, payments, and invoicing, you will be instrumental in keeping things running smoothly. You will also collaborate closely with our Co-Founders and Office Manager, play a key role in database management, and help maintain an organised, efficient office environment.
Key Responsibilities:
- Reception Excellence: Handle incoming phone calls, direct inquiries, and warmly welcome visitors.
- Project Management: Oversee and coordinate various business projects, ensuring timely delivery and smooth execution.
- Financial Precision: Manage stock and payment reconciliation, send invoices, and receive payments accurately.
- Database & Diary Management: Operate and maintain the database, manage your own diary, and schedule meetings.
- Administrative Support: Maintain and organise both physical and digital filing systems, and handle meeting room bookings and other logistical arrangements.
- Collaboration: Work closely with the Co-Founders and Office Manager to ensure business operations run efficiently.
- Logistics Coordination: Oversee postal and delivery services, ensuring smooth communication across all channels.
Required Skills & Experience:
- 3+ years of experience in an office or administrative role, ideally in a fast-paced, luxury environment.
- Advanced proficiency in Microsoft Office Suite.
- Excellent phone and email communication skills, with a professional and personable approach.
- Strong organisational skills, with the ability to manage multiple priorities and work independently.
- A meticulous attention to detail and high accuracy in all aspects of work.
- Proactive, with a solution-oriented mindset and the ability to take initiative.
- Excellent interpersonal skills and the ability to build strong working relationships.
- Punctual with a proven track record of reliability.
- Familiarity with HubSpot is a plus; experience using it will be highly regarded.
- Exceptional problem-solving abilities and an adaptable attitude.
